Medical Support Assistant - Internal

The Montana VA Health Care System is currently recruiting for full-time, permanent, Medical Support Assistant. As a Medical Support Assistant, you are responsible for the following duties to include, but not limited to:
Perform receptionist and customer service duties as assigned for the proper and timely treatment of patients.
Maintain appointment schedules for one or more clinics.
Assist with clinic access contingency plans by adjusting appointment times, location, or dates as well as shift patients to other healthcare providers as conflict with staffing and/or coverage occurs.
Schedule appointments and monitor clinic access.
Conduct daily review of consults and wait lists.
Work collaboratively in an interdisciplinary coordinated care delivery model.
Coordinate with the patient care team to review the clinic utilization by using various reports.
Ensure that the clinic setup is closely monitored to effectively support the needs of the clinic, and make any necessary adjustments.
Develop/maintain effective and efficient communication with the patient, interdisciplinary team, VA medical centers, and other agencies.
Participate in team huddles and team meetings to manage and plan patient care, set priorities and deadlines, and adjust the flow and sequencing of the work to meet team and patient needs.
Work with the team to reinforce the plan of care and self-help solutions and entering appropriate information into the electronic record.
Monitor pre-appointment requirements to assure readiness for patient visit/procedure (e.g., X-ray, lab work).
Manage electronic wait list to verify and validate accuracy and resolve issues.
Participate and provide input in problem solving on operational issues or procedures in team meetings.
Perform administrative follow up actions.
Work Schedule: Monday through Friday; 8:00 a.m. to 4:30 p.m. or as agreed upon with the possibility of extended hours and weekends.

Qualifications
Basic Requirements:
1. Citizenship. Citizen of the United States. (Non-citizens may be appointed when it is not possible to recruit qualified citizens in accordance with
VA Handbook 5005, part II, chapter 3, section A, paragraph 3g.)
2. Experience and Education
a. Experience. Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills
needed to perform the duties of the position; or
b. Education. One year above high school; or
c. Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education
and experience are acceptable.
3. Certification. None required.
4. English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter
3, section A, paragraph 3j.
Grade Determinations:
GS-3: Experience or Education: None beyond the basic requirements.
GS-4: Experience or Education: One year of experience in clerical or office work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position or two years of education above high school.
Demonstrated Knowledge, Skills and Abilities. In addition to meeting the experience and/or education requirement, Candidates must demonstrate the KSAs below:
1. Ability to meet, communicate and interact with individuals from varying backgrounds and other health care team members in a courteous and
helpful manner in order to complete job assignments.
2. Ability to use various types of office automation equipment and software.
3. Ability to set up, organize, and maintain record systems.
GS-5: Experience: One year of experience equivalent to the next lower grade level or 4 years of education above high school.
Demonstrate Knowledge, Skills and Abilities. In addition to meeting the experience and/or education requirement, Candidates must demonstrate the KSAs below:
1. Ability to operate computerized programs and databases in order to enter, modify and retrieve sensitive information/data into or from electronic
medical records, scheduling systems and/or reports.
2. Knowledge of basic medical terminology.
3. Ability to make appointments in a clinical setting.
4. Ability to work independently in the accomplishments of a wide variety of duties, including setting priorities and coordinating work.
5. Ability to communicate effectively and professionally with employees at varying grade levels.
6. Ability to identify customer's concerns, perform the tasks required to resolve the issue accurately and timely, and follow-up as necessary to
ensure a satisfactory resolution.

The full performance level of this vacancy is GS-05. The actual grade at which an applicant may be selected for this vacancy is in the range of GS-03 to GS-05.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
